How to Gain Access to LAR Animal Facility(s)

Access to LAR Animal Facility(s) can differ. Some use keys and others use proximity card readers. The UW WisCard is an access card. If you need to obtain a WisCard we recommend that for security reasons, you keep it with you at all times and visible while in the animal facility.

Step 1: Obtaining a Card
1.1 Obtain a Wiscard from Memorial Union, room 4316; 8am-4:15pm M-F.

 

Step 2: Perform the required training
See Required Training Section that outlines the training requirements for all individuals requesting access to LAR Animal Facilities.

 

Step 3: Fill out the Request for Access to LAR Animal Facility(s) Form
If you need a facility key or need your proximity card activated, fill out this form.

Signature Sign and date at the top.

Card#

Located on the back of the card. The 5 or 6 digit number (Wiscard) or the number that starts with an E (UW Health ID Badge).

Name

Print your name exactly as it appears on your badge or Wiscard.

Employee#

The 10 digit number on the front of your Wiscard or the number that starts with N on the back of the UW Health ID Badge.

Access

Check the LAR Facility(s) that you need access to.

Tour Date

Go to Facilities and click on the facility you need a tour of. Contact the
person it says to schedule a facility orientation tour. Then give this completed form to them at the time of the tour.

Protocol(s)

You must list a protocol that you are listed on for each facility you are requesting access to. See No. 2 under Required Training Section for requirements.

Primates

Fill out TB test date and location as well as training. See No.3 under
Required Training Section if you need assistance with getting testing
or training.

PI

Your PIs signature as well as printed name is required along with the date

When all of the above items are filled in, fax the form to LAR at 263-6463. If the tour is the last thing that you do, the tour guide can also take the form.

 

Step 4: Acquire Animal Room Keys
Once access is granted, contact LAR's main office in 2069 MSC @263-6466 if you need keys to animal rooms or animal elevators.

Required Training Section:

This section lists training that is required for all personnel requesting access to a Laboratory Animal Resource (LAR) Animal Facility. Once you have read and understand what is expected of you in terms of training, click on the name of the animal facility that you need to gain access to. It will list who to contact for scheduling a facility orientation tour, signing out keys, and asking any further questions. 

  1. Be certified to work with animals by taking:

    1.1 New Animal User Online Certification*  through Research Animal Resources Center (1hr) *RARC can not officially add you to a protocol until item 1.1 is completed.

     

    1.2 Occupational Health and Safety Training for Personnel with Animal Contact course that can be found through the RARC website. You have 30 days to complete item 1.2 after completing item 1.1.

     

    1.3 Fill out the Animal Contact Risk Questionnaire on the UW Safety Department website.

  2. Be officially added to an approved animal-use protocol by the PI or designate by notifying RARC. Send the PI name, name of new personnel, protocol number, contact info, classes taken, and years of experience with species on protocol to Deb Morris.  Ph: 262-7109 Fax: 265-9040.
    *RARC can not add you to a protocol until item 1.1 is completed.
  3. Non-human primate (NHP) handlers and surgery personnel** have additional requirements: (CSC and Bardeen/SMI ONLY). Personnel can not have animal contact until the following is completed.

    3.1 Receive training on NHP handling and Pre- & Post-exposure procedures.

    3.1.1 Schedule training through the RARC website.


    3.1.2 NHP training provided by an outside agency must be approved by LAR’s Attending Veterinarian.


    3.1.3 Refresher training is required at least every year that you are on the protocol. (available on-line in some cases)


    3.1.4 Review the UW-Madison All Campus Policy for handling Macaques.

    3.2 Be tested for Tuberculosis and thereafter every six (6) months while on the protocol.  Every 12 months for those requiring medical evaluations and positive responders. Forward results to LAR c/o JoAnne Croft at 2069 MSC, 1300 University Ave.

**NHP handlers not only include those individuals actually working with the animals but also any one who is present in the room or may enter the room as observers or technicians performing procedures such as scanning or imaging.

 

Failure to comply with any of the requirements or if we are not provided complete and accurate information will result in a delay in obtaining access to an animal facility. Once information is verified by LAR and access is approved, cards will be activated. Activation may take up to 24 hours or more. Contact LAR if your card is not working after 24 hours.

 

Research personnel working in animal facilities without completion of the above requirements may be considered a potential protocol violation on the part of the principal investigator.

Facilities

Animal Room or Elevator Keys
If you will need animal room or animal elevator keys, please go to the facilities section above and contact the person listed to obtain the proper keys. Keys cannot be issued to anyone who has not been given access to the animal facility.

 

Hours of Access with Proximity Cards Readers

  1. PIs and PI staff can access the facility with their proximity card between 5am and 10pm seven days a week.

  2. If you require access after the hours described above, you will need to contact Kristi Hall at LAR to get approval. Contact her at klhall1@wisc.edu or 265-5245.

Termination of Access to an Animal Facility
LAR will terminate an individual’s access when:

  1. The individual is no longer listed on an active protocol.

  2. The PI notifies LAR that an individual is no longer part of his research.

  3. NHP handling personnel fail to be Tb tested every 6 months or positive responders to the Tb skin test is not medically evaluated at least once a year.

  4. In cases involving serious protocol and/or violation of animal welfare regulations, LAR will be required by law to revoke access to the animal facility. This usually is done in
    consultation with the Animal Care and Use Committee and/or RARC.

  5. Personnel fail to wear appropriate personal protective equipment (PPE).

Depending on how access is gained to a facility either the access card will be de-activated and or keys required to be returned.

Maintaining Up-to-Date Card Status
Periodically, LAR will require that PIs and their research staff update the information on file with LAR. This will ensure that only people who have a legitimate reason to be in the animal facility have access. Notification will be sent that the card(s) will be deactivated and you will have a period of time to update information. In the interim, any information about changes in research staff that you wish to provide will be appreciated.

 

It is to the benefit of all UW researchers who use animals that the animal facilities have effective security that is in compliance with regulations and ensure our continued accreditation with AAALAC as a state-of-the-art animal care facility.
